How to Track MCA Deals Without Drowning in Spreadsheets

Most MCA investors start in a spreadsheet. It works until you have two wallets, a partner asking for numbers, and a broker CSV that never quite matches last month's tab.

Record the deal, not just the dollar

For every advance, keep the merchant, funded amount, RTR, term, payment frequency, AM status and percentage paid. Everything else — profit, exposure, expected completion — is derived from those fields.

Update on a schedule, not on a whim

Pick one day a month (we use the 28th) and update every wallet's ending balance and withdrawals on that day. Consistent cadence is what makes month-over-month comparisons meaningful.

Watch four numbers

  • Starting capital — what you put in
  • Capital deployed — what is currently working
  • Realized profit — what has actually come back
  • In-progress profit — what is still owed on performing deals

Give partners a read-only view

Emailing screenshots is how numbers drift. A read-only dashboard scoped to the wallets a partner is actually in removes the reconciliation call entirely.
