How do you track merchant cash advance investments?

Track four things every month: the wallet's starting and ending balance, capital deployed into new deals, collections received after fees, and the status and percentage paid of every open deal. Reconcile those against the funder's statement so any unexplained difference is caught the month it appears.

The monthly reconciliation

Starting balance + collections received − capital deployed − withdrawals should equal the ending balance the funder reports. When it does not, something is missing: an unrecorded funding, a fee taken at the deal level, or a payment posted to a different month.

Deal-level tracking that matters

  • Percentage paid against days elapsed, to spot slow payers early.
  • Status changes from healthy to at-risk to default.
  • Fees deducted from each collection, so net cash is clear.
  • Closed deals separated from open ones, so realized profit is not mixed with estimates.

Why spreadsheets stop working

A funder export lists hundreds of deals across many months. Rebuilding the same formulas by hand each month invites stale figures, double-counted deals and balances that quietly stop tying out. MCA Dash imports the funder's own export, keeps each month's figures fixed once recorded, and flags any balance that does not reconcile so it can be raised with the funder.
